These dates do not spread out
Proms and graduations land on a handful of Saturdays in spring, and every school in the county competes for the same vehicles on the same nights. This is the one category where booking early is not advice but arithmetic: the stretch or the party bus you want is either still available in February or it is not. Send the date the moment the school announces it, even if the passenger count is still moving.
Parents are the second customer
Most of these bookings are paid for by a parent who is not travelling, and the thing they want is not the vehicle, it is knowing where the group is and when it is coming home. Give us a parent contact as well as a passenger contact, agree a fixed return time and a fixed drop-off point at the booking stage, and the evening runs to a plan everybody has already seen.
Headcount, stops and the venue
Groups change between booking and the night, and a vehicle sized to fourteen does not take sixteen. Confirm the final count before the date rather than on it. Say where the photographs happen, whether there is a dinner stop before the venue, and what the school or venue requires for drop-off, because large vehicles are often sent to a different entrance from cars.

- Yes. Provide one organizer, an accurate passenger count and every pickup or return address so the route can be reviewed as a single itinerary.
- Which vehicles work for graduation groups?
- Vehicle choice depends on passenger count, luggage or ceremony items and the complete schedule. Options may include SUVs, limousines, Sprinter vans, party buses and coaches.
- How far ahead should we book a prom limo?
- As soon as the school confirms the date. Prom and graduation nights cluster on a few Saturdays across the county and the larger vehicles go first. A booking made months out gets the vehicle you want; one made in the final weeks gets whatever is left.
- Can a parent arrange the booking and get the updates?
- Yes, and it is the usual arrangement. Give us a parent contact alongside the passenger contact, and agree the return time and drop-off point when you book so nothing is being negotiated late at night.
- What if the group size changes?
- Tell us as early as you can. Vehicle capacity is fixed, so a group that grows past the seating needs a different vehicle and that depends on what is still available for that date. Confirming the final count in the week before the event is what avoids someone being left behind.
