When the company books the holiday party, someone also has to work out how the team gets there and, more to the point, how everyone gets home. Shuttles from the office or hotel to the venue
Most company parties begin with a group leaving one or two places at about the same time. A coach bus or party bus moves a whole department in a single run; a Mercedes-Benz Sprinter in its executive configuration suits a smaller team or a second pickup point, such as the hotel where out-of-town staff are staying. Send each pickup address with the number of people at it, and reservations will plan the outbound runs around the venue's start time.
Getting everyone home after the party
The ride home is the part planners worry about. Book the vehicle by the hour and it stays at the venue, or book a round trip with a set return time. When the team lives in different directions, the return can run as a series of drop-offs, with Oxnard and Camarillo on one route and Thousand Oaks and Westlake Village on another, or as staggered departures for the people who leave early and the people who stay to the end. List the drop-off areas with the request and the quote will show how many vehicles that takes.
Executives, clients and the guests you are hosting
Sedans and the Cadillac Escalade ESV carry executives and visiting clients separately from the staff shuttle, and the Rolls-Royce Ghost or Bentley Mulsanne can be quoted for a guest of honour. Executive-configured Sprinters with captain's chairs are available when the leadership team travels together. Our chauffeurs will sign your client NDA on request; mention it when you ask for the quote.
Team outings and January kickoffs
Not every company celebration is a December party. Some teams spend a day in wine country instead, and a private wine tour works the same way for a department as it does for a group of friends. January brings sales kickoffs and all-hands meetings, and the same shuttle planning applies: hotel to meeting venue, then on to the team dinner.
Deposit, balance and gratuity
Accept the written quote and a 20% non-refundable deposit reserves the vehicles. The balance is due the week of the event. Gratuity is not included unless your quote says so; 15–20% is customary. Plan with confidence
- How far ahead should we book transportation for a December party?
- As soon as the venue and date are confirmed. The earlier the request, the more of the fleet is still free on your date.
- How many vehicles do we need for our staff?
- It depends on the headcount and on how many people leave at the same time. As a guide, the Sprinter carries up to 12 in the party configuration and the 2024 Escalade super stretch up to 20, while party buses and coach buses take larger groups in one run. Send the number of people at each pickup and reservations will put the vehicle count in the quote.
- Can you run staggered pickups and drop-offs?
- Yes. Give each pickup point its time and headcount, and say whether people will leave the venue together or in waves. The quote sets out each run, or keeps a vehicle by the hour so it is there whenever people are ready.
- How do the deposit and balance work?
- A 20% non-refundable deposit reserves the vehicles once you accept the written quote, and the balance is due the week of the event. Companies that already book with us regularly can ask about account billing. The quote lists the vehicles, hours and price before anything is booked.
- Will the chauffeur sign our NDA?
- Yes. Our chauffeurs will sign client NDAs on request. Include the NDA, or say you need one, when you request the quote.
- Is gratuity included?
- Not unless your quote says so. Gratuity is not required; 15–20% is customary.
